How Soon Should You Book Your Wedding Venue?

A question we often hear is “How far out are couples booking weddings?” The short answer is, about a year ahead of time, but it depends on the season and day of the year. If you have your heart set on a certain date we suggest booking sooner rather than later. Your desired date at your dream wedding venue might get snatched up by another couple if you sit on your decision too long. You may think you have plenty of time, but the clock moves fast when you’re planning a wedding.


At Historic Rosemont, our busiest wedding months are May, June, September and October, with October being the most popular. Fall is a gorgeous time of year in our area, so it’s understandable that it’s our most requested season for wedding dates. With that in mind, booking a wedding venue about 18 months out for these months is highly recommended.

Get an Idea of Your Wedding Style


Grab a pen or your laptop and start making of list of how you picture your dream wedding day. Do you want to get married at a grand historic home with Doric style columns? Will your reception space be filled with romantic white and blush florals? Or maybe you’re picturing a rustic theme in an elegant barn with wine barrels and natural wood chargers. If you’re not really sure, that’s ok too! Flip through wedding magazines or photos online for inspiration and see what speaks to you. Once you have an idea of what you’re looking for, start looking for wedding venues that match that style.

Start Your Wedding Venue Research Early


Whether you’re combing through The Knot, Here Comes the Guide, or typing “wedding venues near me” in your Google search bar, there are several ways to find venues that match your vision. Grab the list you made with your wedding style and start your search. Start researching venues as soon as you’re able in order to give yourself enough time to then reach out and schedule tours, which all happens before you book.


Choose your top wedding venues – 3 to 5 – and start reaching out. We suggest narrowing down your search before contacting each one. If you email every venue that might have what you want, you’ll end up with an inbox of 20 replies that you can’t keep straight, which only adds to any planning stress you may have. Take your time and do your research.

Make Calls and Send Messages


Once you have your top wedding venues selected, start reaching out to get more information and book tours. You can reach out via the contact form on the venue’s website, with a phone call or another method you prefer. Provide some basic details when you’re contacting each venue:

What is your desired wedding date/season?

How many guests do you plan to invite?

Do you want your ceremony and reception to be held at the same location?

When are you available to book a tour?


Once the replies start rolling in, get back to them right away to keep the process moving. Schedule tours and get ready to see your dream venues in person.

Go on Tours and Make Your Decision


Now it’s time for the fun part – to see the venues in person. Tour as many areas as you can when you visit each location – ceremony and reception locations, hair and makeup studio, overnight accommodations and any other important locations. Don’t forget to ask questions and make notes so you don’t forget. Also jot down how you feel in each space or what was memorable about it. That way when you and your partner sit down to compare notes later, you’ll have an easier time deciding which wedding venue is the best fit.


Once you know that you’ve found your perfect venue, reach out right away and secure your date. Ask during your tour what this process looks like so you’re prepared ahead of time. And just like that, you’ve booked your wedding venue! It’s a big box to check off, and now you have a team of professionals from your venue that can help you in your planning process moving forward.
